Tasks

The basic idea is that all your tasks land into an Inbox, where they are Reviewed. If you review a task, you can either put it to your Backlog or add it to your daily Todo list. If you want to, you can group larger amounts of tasks under Projects.

Inbox

Inbox is the place where you add ALL ideas or tasks. Be it baking a cake for a party, submitting a paper or reviewing your colleague's work, they would all start as entries in the Inbox.

We recommend going through the Inbox once a day.

Review process

Once a day, you should go through your Inbox tasks. You can do one of the following things with every task:

  1. Review it. By clicking the Reviewed column, the task will be moved to your daily Todo list and it will be removed from your Inbox. By reviewing, you should think if you are the best person do to the task and if it's actionable for you (i.e. you can actually do something about it, and it's not just an abstract idea).
  2. Do it right away. If the task takes less than 2 minutes to do (send a simple email), don't procrastinate and do the task right away.
  3. Backlog it. Today might not be the best day to work on a given task, so you can move a task to the backlog.

Backlog

Backlog contains all tasks that you decide to leave for later. If you want to move a task from your Backlog to your Inbox, then untick the Backlog column. If you want to move it to your daily Todo, then tick Reviewed and untick Backlog columns.

We recommend going through the Backlog once a day, along with your Inbox.

Todo list

Your Todo list is the centrepiece of everything. It contains only reviewed tasks, so when you look at it you are sure that there's no additional thinking needed to be done, and you can just start executing on tasks one by one. Additionally, you can also sort the tasks by the priority.
